These Terms of Service ("Terms") form a binding agreement between you ("you") and the operator of KaiTask ("KaiTask", "we", "us"). By creating an account or using the service you accept these Terms. If you use KaiTask on behalf of an organization, you confirm you are authorised to bind that organization.
You must provide accurate account information and are responsible for all activity under your account. Keep your credentials confidential and notify us immediately of any unauthorised access. Accounts are for a single person; do not share credentials.
An organization owner may invite members to their workspace. All members are equal; the person who creates a task controls who is assigned to it, and only creators and org owners can remove people from a task. Owners and admins can view, edit and remove data within their organization. When you accept an organization invite you agree that the inviting organization controls how your activity within that organization is used to deliver the service.
You will not: (a) send spam, phishing or malicious content; (b) upload malware, illegal content or content that infringes third-party rights; (c) attempt to reverse engineer, disrupt, overload or probe the service; (d) use the service in violation of applicable law, including data-protection, export-control and sanctions laws; (e) resell, sublicense or misrepresent the service.
You retain ownership of the content you and your organization upload (tasks, messages, attachments, files). You grant KaiTask a worldwide, non-exclusive, royalty-free licence to host, transmit, back up and process that content strictly to provide, secure and improve the service. We do not sell your content and do not train foundation AI models on it.
Photos and file attachments you upload to tasks and chats are automatically deleted 30 days after upload. This keeps storage costs low and matches EU data-minimisation guidance. Text messages, comments and task history are kept for the life of your organization.
If you need to keep a photo permanently, tap the Save button on the image (long-press on mobile) to download it to your device before it expires. Deleted files cannot be recovered.
We rely on the following sub-processors to deliver the service: Lovable Cloud (application hosting, database, authentication, file storage), Resend (transactional email delivery), n8n (workflow automation for scheduled reminders and invites) and Google (optional single sign-on). Their use of your data is limited to the operations they perform for us. A current list is available from the contact address below on request.
Some features may be offered on a paid plan. Where a paid plan applies, fees, billing period and refund terms will be presented at checkout. You can stop using KaiTask at any time; unless otherwise stated, fees already paid are non-refundable.
We aim for high availability but do not guarantee uninterrupted service. We may modify, suspend or discontinue features. Beta or experimental features are provided "as is" and may change or be removed without notice.
You may terminate at any time by deleting your organization from Settings. We may suspend or terminate accounts that violate these Terms, put the service or other users at risk, or fail to pay. On termination your data will be deleted or returned in line with the Privacy Policy retention windows.
To the maximum extent permitted by law, KaiTask is provided "as is" and "as available" without warranties of any kind. Our aggregate liability arising out of or related to the service will not exceed the amount you paid us for the service in the twelve months before the event giving rise to the claim, or one hundred US dollars if you have not paid.
You will defend and indemnify us against third-party claims arising from your content or your breach of these Terms.
These Terms are governed by the laws of England & Wales. Disputes shall be resolved exclusively in the competent courts of England & Wales, unless mandatory local consumer-protection law requires otherwise.
We may update these Terms. Material changes will be announced in-app or by email at least fourteen days before they take effect. Continued use of the service after the effective date constitutes acceptance.
